Future AGM's with Covid 19 in mind
« on: June 14, 2020, 16:34:25 »
Interested to hear peoples ideas/views with regards what to do about AGM's due to be held in the next 4-5 months. Although we do not know our situation then we are needing to plan or have contingencies ready.

The AGM could be postponed until say April, this however is a busy month for allotment growers and those on committee
It maybe ok to hold as normal, but as usually held in confined environment and many people come in bracket of over 70 or shielding at present may still at this point a risk
To write up report of events/news and send out with financial report, asking if anyone has any comments/views for committee to discuss at next meeting and hope we can hold one as usual next year due to exceptional circumstances

What are other Allotment Committees ideas or contingencies ?

Not an allotment association but we'll have similar problems in September for the AGM of a patchwork club.   28 of the 30 ladies are 60 plus and othe other two, one is shielding and the other is a hospital nurse.   We have the use of a room for our weekly meetings which will probably accommodate us all at one metre distance for the AGM but how to organise our workshops?

Have to plan ahead so we can be ready and also react quickly to any changes to the situation.

Can you have the use of a church hall or parish hall or community centre for your AGM?    Maybe wait till Octon-er/November to see how things pan out?  That would give you time to send out an agenda, list of potential votes and voting and proxy slips.

We are still watching events.

If cases continue to decline a bit and further restrictions are lifted, our committee will probably meet. Twelve members and we use a local community centre room that is spacious enough for us to stay well apart.

But the AGM is held in the same room one or two weeks later with between 30 and 40 plot holders coming along.  I really cannot see this happening unless Typhoid Dido really ups her game and actually gets track and trace (and that long long awaited telephone app) running effectively to get the numbers right down.
Not mad, just out to mulch!

Zoom or something similar is the way to go. With the added benefit of using a timed connection to stop the waffling.
