Committee meetings
« on: September 12, 2010, 21:03:41 »
Hi All
Just wondered how often your gardens have Committee meetings for all members, ours is usually once a month, but as secretary was just wondering whether it was necessary for them to be that often, unless something urgent crops up of course.
Cheers

We have monthly meetings for the committee and one AGM for everybody.  Any tenant can request something to be put on the agenda for any meeting and may attend the monthly meeting to get their point across if they so wish.  Nobody ever bothers coming to the monthly meeting and we only get 2-3 at the AGM.

Our committee meeting are on the first Wednesday of every month.  Non-committee members are welcome to attend, although that rarely happens.  Most people seem happy to let us get on with things. The minutes of the meetings are put up on the notice-board.

We get about 35 people at the AGM every May.

Like most of the others - every month, and the minutes go up on the notice board.

We also get together informally and e-mail each other frequently.

First Monday of every month we have management committee meetings. We used to put the minutes on the noticeboards but realised that it was rather unkind to put plot inspection data in the public domain so don't now. I put out a newsletter every couple of months which gives feedback from the committee meetings. Actually other members could come along but they don't!!

We find that we have a good two hours' business every month but we have 100 plots. I suppose, if you have fewer, you might not need such long meetings.

A typical agenda would include: apologies, minutes of previous meeting and matters arising, secretary's report, treasurer's report, allocations officer's report, agenda items (e.g. work party planning or repairs and projects), the gardening spot and AOCB.

We started the gardening spot to lighten things up a bit - we take turns every month to do a ten minute talk on our particular interest or area of expertise. It usually means the meeting finishes with laughter and animated discussion!
