Treasurer problem
« on: March 26, 2015, 22:25:18 »
First , sorry for not being active at A4A  for simply ages... . I'm trying to help our successful association overcome a committee  impasse,
The story... Treasurer steps down (5 months notice ). new treasurer, previous committee member and plot holder  ( very able person ) starts OK but decides plot life not  for them... no current plot holders wants the job ? , treasurer says will do the treasurer role but will only report to committee not attend until new treasurer found . Committee split on accepting this.  any views / solutions  appreciated .

Then it is time to call general meeting...get members together and vote to get rid of the old one and appoint a new one...

Thanks goodlife . Unfortunately there is little chance of any of the 30 members volunteering / elected , its quite a job , our turnover was in excess of £5000 a year .

Hello Picman.

Sometimes it is the number of transactions, not the turnover that causes the amount of work.

Is there a way of breaking it down into two or three jobs e.g. 1 person is responsible for handling the rent collection, keeps the records and hands over records and amount collected. The treasurer keeps those records, but only enters one transaction in the book for rent collection..

Regards

Do you mind me asking how come your turnover is so high! ? Do you have a very successful shop?

Thanks for all your comments, Yes we have a small members only shop, also an openday, and other social fundraising activity also a yearly membership and a plot fee , ( for maintenance and fuel for mowers / tillers / strimmers)  we get 25% discount from council for collecting rents, also sell young plants . lots of transactions. the committee  have broken down the treasurers work into separate responsibility like Bluecar suggested, the treasure is just keeping the accounts, does not want to attend meetings just presents a comprehensive financial report, ( has give up the plot ) the £5k is turnover not profit !

Hello Picman.

If the current treasurer (who is no longer a plot holder) is still willing to carry out the role and present the accounts to the committee on a regular basis would this be acceptable?  Perhaps they could attend meetings just for the Treasurer's report? This would seem better than no one taking on the treasurer role. Is it possible that they could continue in a voluntary position?

If you do not have a treasurer, then are the 30 plot holders aware of the consequences of this (what ever they are)?

Eventually, it seems to me, you will need a Special General Meeting to resolve this problem, which may be having a voluntary treasurer who is not a committee member.
